Privacy Policy

Last updated 30 September 2026 · ACN 682 322 925

JM Production Group Pty Ltd (“JM Production”, “we”, “us”) films and photographs weddings and events across Melbourne and Victoria. To do that we collect personal information about the couples who book us, and sometimes about their families and guests. This policy explains what we collect, why, who sees it, and how you can ask us to see, correct or delete it. We handle personal information in line with the Australian Privacy Principles.

What we collect

  • Contact details for each partner: names, email address, phone number, home address, and the address we film at.
  • Event details: dates, ceremony and reception venues, run sheet, package and inclusions, delivery preferences, and notes from our meetings with you.
  • Payment records: amounts quoted, invoiced and paid, payment dates and method. We do not store card numbers. Bank transfers go directly to our business account.
  • Your signature, captured electronically when you sign your booking contract, together with the date and the name of the person who signed.
  • Photos and video we record at your event, including of your family and guests, and the edited films and galleries we deliver.
  • Portal sign-in data: if you use the client portal, the email address you sign in with and the times you sign in.
  • Enquiry and correspondence: messages you send us by email, phone, social media or our contact form.

How we collect it

Most of it comes from you directly: when you enquire, meet with us, accept a quote or sign a booking. Some comes from your partner, who may give us your details when booking. Photos and video are collected at the event itself.

Why we use it

  • To prepare quotes, contracts and invoices, and to record payments.
  • To plan and deliver your booking: scheduling our team, getting to the right venue at the right time, and delivering your photos and film.
  • To keep in touch with you before and after the event.
  • To meet our legal obligations, including tax record keeping.
  • With your permission, to show selected work in our portfolio and on social media. You can decline this at any time by emailing us.

We do not sell personal information and we do not use it for third-party advertising.

Who can see it

  • Our team. Staff log in to our booking system with individual accounts. Access is by role: for example, our reception staff cannot see financial records, and only administrators can change company settings.
  • Service providers that run our systems: Google (Firebase and Google Cloud for hosting, database, file storage and sign-in; Google Calendar for scheduling) and our email provider. They process information on our instructions and under their own privacy commitments.
  • Venues and other suppliers, only where needed to deliver your event, such as confirming access times with a venue.
  • Authorities, where the law requires it.

Where it is stored

Your files are stored on Google Cloud in Australia (Sydney). Booking, contract and payment records are stored on Google Cloud in the United States. Google secures these services and we control who can access them.

How we protect it

Our systems are accessed over encrypted connections. Staff have individual logins, and what each person can see is limited to their role. Your gallery, contract and quote are shared with you through private links that only you and the people you forward them to can open, so please share them with care.

How long we keep it

  • Raw footage: 6 months after your event.
  • Final edited photos and films: 12 months after delivery. Please keep your own backup.
  • Booking, contract and payment records: 7 years, as required by Australian tax law.
  • Enquiries that do not become bookings: up to 2 years.

Guests and family

We film and photograph the people at your event. We rely on you to let your guests know that filming is taking place. If a guest does not want to appear in footage we share publicly, they or you can tell us and we will leave them out of anything we publish.

Your choices and rights

You can ask us at any time to:

  • see the personal information we hold about you;
  • correct anything that is wrong;
  • delete information we no longer need to keep, or
  • stop using your photos or film in our portfolio or social media.

Email [email protected] or call 1300 773 722. We respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
